Three rules that apply to every set of minutes
A reader coming back months later needs to tell instantly which line the team committed to and which was one person's opinion. Mixing the two is the fastest way to make minutes useless.
A task with two owners has no owner. Even when several people do the work, one person must be accountable for reporting the result.
Minutes that arrive three days later have lost almost all coordinating value, because by then everyone has committed their own version to memory and those versions have drifted apart.
FAQ
What must meeting minutes include?
At minimum: the meeting name and time, who attended and who was absent, the decisions made, and an action item table with an owner and due date for each item. The remaining sections vary by meeting type.
Do meeting minutes need to be signed?
Internal minutes normally do not. Signatures matter when the minutes carry legal or financial weight, such as board minutes or an acceptance record agreed with an external party.
Should you take notes live or record and write them up later?
Writing live means nothing is forgotten but removes one person from the discussion. Recording and writing up afterwards keeps everyone in the conversation, provided you have a transcription and summarization tool, otherwise replaying the audio costs more time than writing by hand.
