An auto-joining bot: convenience with a boundary

A bot that joins by itself solves a real problem: people forget to press record. For someone with eight calls a day, automating that step has clear value and Fireflies does it well.

The boundary that comes with it is that the bot needs an online call room to join. No room, no bot. That excludes every meeting held around a table, every phone call, and every unscheduled conversation where nobody had time to create a link.

There is a subtler point too: the bot appears as a participant in the attendee list. In an internal meeting that is fine, but in a client meeting or a sensitive interview an unfamiliar name in the participant list sometimes changes the atmosphere and calls for an explanation.

Meco goes the other way: you press record or upload a file yourself. Less convenient for a dense online-call schedule, but nothing falls outside its scope because everything reduces to an audio file.

More than 100 languages against one prioritised language

Fireflies supports more than 100 languages, Vietnamese among them. That is a number Meco will not approach, and if your work is genuinely multinational it is a decisive advantage.

The difference is not whether Vietnamese is supported, since both support it. It is which language wins when there is a trade-off. In a product covering over 100 languages, Vietnamese is one of them. In Meco it is the language handled first, including filtering the hallucinated fragments that speech models tend to produce during silences in Vietnamese audio.

A more concrete difference is the output format, which follows a document structure familiar to Vietnamese users. It is the detail that decides whether you have to rewrite the document before forwarding it.

A team tool and an individual tool

Fireflies offers conversation analytics, deep CRM integration and performance tracking features across a sales team. That is a valuable set for a manager looking for trends across hundreds of calls.

Meco has none of that and does not aim to. The product is built for one individual, and it is private by default: notes are only shared when you actively create a link.

This difference shows up in places that look small. A team-oriented tool puts content into a shared workspace by default, which is entirely sensible inside an organisation. For a freelancer serving several clients at once, that default is wrong.

If you need to track a team's performance, Fireflies is a much better fit. If you need a professional archive that belongs to you, Meco is built for exactly that.

Where the action items go

Both tools extract action items from a meeting. The difference is where those items go afterwards.

Fireflies pushes them into other tools through integrations, which suits an organisation that already runs a task management system. Meco keeps them on a per-project Kanban board, so after ten meetings you have one consolidated list rather than ten separate documents.

This is only an advantage for someone with no tracking system yet. If your organisation already runs a task tool, Fireflies' integration capability is worth considerably more than another Kanban board.

Automatic capture and deliberate capture

A bot joining every call on your calendar has a consequence that gets little attention: you record everything, including the calls that did not need recording. After three months your library holds hundreds of entries, most of which are never opened again.

This is not a technical problem, it is a signal-to-noise problem. When every meeting is recorded, finding a specific one gets harder, and the sense that the library is an asset gradually gives way to the sense that it is a pile of storage.

Meco's approach forces a choice: you press record when a meeting seems worth recording. Less convenient, but after three months the archive contains the meetings you actually cared about. For someone with only a few important meetings a week, that selectivity has value.

To be fair to the other side: the price of selectivity is that you will forget to record the one meeting you later need. Neither approach wins outright, it is a trade-off between coverage and selectivity.

Cost when scaling to several users

With per-seat pricing, the price difference multiplies by headcount. A team of five on Fireflies at $10 per seat billed annually is $600 a year. The same team on Meco's Team plan at 99,000 VND per month is roughly $45 a year per account.

But that arithmetic only means something when the two products serve the same need, and at team scale they usually do not. Fireflies sells to teams with conversation analytics and CRM integration, neither of which Meco has. Comparing on price alone when the feature sets differ that much is the wrong comparison.

The price comparison is most meaningful at single-user scale: one individual who needs transcripts and minutes for their own work, without team analytics or CRM sync. At exactly that scale, a five to ninefold gap is real and has real consequences.

When a bot does not suit the meeting

Some meetings are ones where an unfamiliar bot in the participant list creates awkwardness, and those are often the most important ones.

A hiring interview is the clearest example. A candidate seeing an unknown account in the room will ask what it is, and you have to explain before you begin. A first client meeting is similar, particularly when the client side is not used to tools like this.

For more sensitive conversations, such as personnel discussions or contract negotiation, a third party visible in the participant list can make the exchange less candid, even when everyone knows it is only a tool.

Recording directly or uploading a file avoids this, because nothing appears in the room. In exchange, you still need to ask participants for permission before recording, which is a professional obligation rather than a technical one.
